Cancha Club Management ("Cancha", "we", "us") is club-management software for youth soccer clubs, built to work in both languages. The club ("you") uses it from a browser; there is nothing to install and nothing to maintain.

The club owns its data — rosters, families, players, documents, messages, schedules and financial records. We hold it to provide the service and for no other purpose.

With one clarification we would rather state plainly: to translate, the text of announcements and private messages is sent to an outside translation service, and the original text and its translation are kept so the same sentence is not translated twice. That is processing to deliver the service — not advertising and not model training. Privacy lists everyone we work with.

• Players who are minors get no account. Guardians are the account holders.
• Medical notes are seen by the club's manager and, by design, that player's own coaches. Nobody else at the club.
• Documents (birth certificates, medical releases, photo ID) are held in private storage and open only through an authenticated link that expires in minutes.
• No player photograph is shown without that family's recorded consent. Consent starts switched off; it is never assumed.
• Obtaining parental consent to hold each child's information is the club's responsibility, as is the accuracy of what it enters. We provide the mechanisms; the club has the relationship with the family.
• A family may ask for their data to be exported or erased. The club can do both itself in the app, and must action such requests promptly.

Two more things a club should know before signing. The database is backed up nightly and the backups are kept for 30 days; those backups contain children's data. And the platform operator holds a technical administrator access that reaches any club's console, including medical notes and documents. We use it for support and for fixing faults, not for anything else, but we would rather you knew than found out.

The service is for running a youth club. In using it, you agree not to:

• intentar ver información de otro club, ni saltarse los permisos, ni abrir un documento que no le toca;
• probar tarjetas robadas ni procesar pagos que no correspondan a las cuotas y actividades del club;
• revender el servicio, rentarlo, ni dárselo a otra organización;
• copiar el programa, descompilarlo o intentar deducir su código;
• mandar publicidad de terceros a las familias del club por medio del sistema;
• cargarle al sistema tanto tráfico automatizado que afecte a los demás clubes.

• use it for anything unlawful, or to collect money that is not the club's;
• upload unlawful content, or a child's information without their guardian's consent;
• try to see another club's data, work around the permission checks, or open a document that is not yours to open;
• test stolen cards, or process payments that are not the club's dues and activities;
• resell, rent or hand the service to another organisation;
• copy, decompile or try to derive the source of the software;
• send third-party advertising to the club's families through the system;
• put so much automated traffic through it that other clubs are affected.

The club must also follow Stripe's rules, including its restricted and prohibited business list. If your club plans to collect for raffles, drawings or other fundraising that Stripe restricts, say so first: it may need Stripe's prior approval and not all of it can be collected here.

A one-time setup fee, starting at $200.00 USD per club. It covers configuring the club's account and public site, connecting payment processing, importing whatever roster the club already keeps, and training the club's staff. The price goes up with the size of the club and how much work the roster import is, and it is agreed in writing before any work starts.

20% of the player-months settled in a given month may be paid directly to the club at no charge. Only what goes beyond that share is invoiced, at $1.00 each.

This exists because some families will always pay in cash and the club cannot fully control that. It is not intended to push families onto any payment method — it is there so the fee tracks the club's actual enrollment rather than the club's payment mix. The percentage changes only by written agreement.

The club sets what families pay. Cancha does not. On each payment made through the service, the club receives the amount paid less processing costs and the Cancha fee, worked out so that the club receives at least $42.00 of every full-price $45.00 payment, whichever method was used. If the club offers a sibling or hardship discount, that discount comes out of the club's share, not out of the Cancha fee.

If payment-processing rates change materially, both parties will discuss these figures in good faith.

Where a family pays through the service, the fee comes out of that payment at the time and there is no invoice. The only thing invoiced to the club is the direct-payment excess in 5.3, once a month. The club can see the whole calculation, month by month, inside the app under "Cancha billing" — the player-months counted, the allowance applied and what is left to pay.

Any fee change requires 60 days' written notice. If the club does not accept the change, it may end the service before the change takes effect, at no penalty.

We do not currently offer a free trial, an introductory discount or any promotion. If we ever do, its terms will be written next to the offer.

Payment processing is performed by Stripe. The club opens and controls its own Stripe connected account, in the club's own name, and is bound by Stripe's terms. We are not a bank and we do not transmit money.

Payment processing services are provided by Stripe and are subject to the Stripe Connected Account Agreement, which includes the Stripe Terms of Service (collectively, the Stripe Services Agreement). By accepting these terms, or by continuing to operate the club on the service, the club agrees to be bound by the Stripe Services Agreement, as Stripe may modify it from time to time. As a condition of Cancha enabling payment processing, the club agrees to provide accurate and complete information about itself and its activities, and authorises us to share it with Stripe.

Here is exactly how the money moves. When a family pays, the charge settles on Cancha's Stripe platform account, Stripe retains the Cancha fee from section 5 there as an application fee, and transfers the remainder to the club's Stripe balance. From there Stripe pays the club out to the club's own bank, on the club's own payout schedule. Stripe — not Cancha — decides when that payout arrives.

Cancha never holds the club's money and never takes custody of family payments. Our fee is deducted by Stripe at the moment of the transaction and is the only amount we receive. No family payment passes through a Cancha bank account. The club's Stripe account, and any money in it, are the club's throughout.

Refunds, chargebacks and disputes over a family's dues are between the club, the family and Stripe. The software, its design, its code and the Cancha name are ours. For as long as the service is running, the club has permission to use it to run its club — a non-exclusive, non-transferable licence with no right to sublicense.

What the club uploads stays the club's: its crest, its colours, its words, its photos and its families' information. The club gives us only the permission needed to host, display, translate and back it up in order to run the service. That permission ends when the service ends, apart from backups while they age out.

If the club sends us a suggestion for improving the product, we may use it without owing anything for it.

8. Confidencialidad

Each side will look after the other's non-public information that it receives through this relationship, and will not use it for anything other than making the service work. This does not cover what was already public, what the party already knew without an obligation of confidence, or what the law requires be handed over — and in that last case we tell the other party, where the law allows.

Beyond what this page says, the service is provided "as is" and Cancha disclaims all other warranties, including merchantability, fitness for a particular purpose and non-infringement. We do not promise the service will be error-free or uninterrupted, and we do not promise machine translations are perfect: for a legal or medical document, have someone check it before you send it.

Neither party is liable to the other for indirect, incidental or consequential damages, or for lost profits or lost goodwill.

Cancha's total liability under these terms, for any and all claims, is limited to the fees the club paid Cancha in the three months before the claim arose. Given the fee level, the club should understand this is a small number, and should carry its own insurance for the risks that matter to it.

Nothing here limits liability for fraud, wilful misconduct, or anything that cannot be limited by law.

The service runs month to month. There is no minimum term and no cancellation fee. The monthly fee in section 5.2 keeps accruing every month until the club cancels.

We may update this page. If a change materially affects the club's rights or obligations, we will email you at least 30 days beforehand — and if the change is to fees, 60 days, as section 5.5 says. If the club does not accept it, it may end the service before the change takes effect, at no penalty. Minor changes and corrections show up as a new "Last updated" date at the top.
